Administrative Support Coordinator (Part-time) at Alberta Gymnastics Federation

The Alberta Gymnastics Federation is the Provincial Association responsible for the development of the sport of gymnastics within Alberta. Based in Calgary, the Alberta Gymnastics Federation has more than 80 affiliate clubs throughout the Province with a total membership of over 45,000. Alberta Gymnastics has a reputation for excellence at both the organizational and program levels. The Administrative Support Coordinator will be responsible for providing administrative support to the President/CEO and various Program Coordinator(s). 

Duties/tasks would include but are not limited to: 

  • Perform general administrative duties to include but not limited to directing telephone calls, and assisting with customer information, photocopying, mailing, and filing 

  • Assist in the preparation of materials for the Board of Directors meetings and attend as required 

  • Booking travel and hotel arrangements as needed for the President/CEO and AGF Board 

  • Act as the liaison for ongoing tenant/landlord matters 

  • Assist the Membership & Finance manager with mailings, club registration, and AGM forms/registration. Manage inventory control associated with the various AGF resources. 

  • Assist with budget reconciliation for the yearly audit and Annual General Meeting 

  • Assist the Events & Partnership manager with Provincial Championships, AGF Awards Gala and with other special events as necessary 

  • Assist with the development of the various sport packages/bulletins for various events and/or games (Alberta, Westerns, etc.) 

  • Assist Program Coordinator(s) with organizing judging courses and competition materials and planning 

  • Compile and reconcile Enhancement Funding and other Team Alberta related documents 

  • Administration of the Police and Intervention Record checks 

  • Assist in preparation of materials for the various program Board/Assembly and Committee meetings. 

The ideal candidate must possess a minimum one-year office administrative support experience, some post‐secondary education or related certification, excellent organizational skills (oral and written) and the ability to excel at details, multi‐tasking, work independently and within a team setting. Additionally, the candidate should be experienced and skilled in the use of software programs such as Outlook, MS Word, PowerPoint, and Excel. Technical knowledge of the sport and previous experience within the not‐for‐profit sector would be an asset.
